Damaged File Recovery......................................44 Chapter 1 Introduction Your Family Tree (YFT) is a data management software package designed to organize Genealogical information. This software has been designed and written with the sole intent of being used as a database for Genealogy. The special relational ties required for storing family history and the popular reports required by genealogists, such as Individual Lists, Family Lists, Pedigree Charts, Descendant Charts, and Family Groups are easily handled by YFT. This software has been designed, created, tested, (and tested and tested) on the Amiga computer. Minimum requirements are 512K RAM and 1 floppy disk drive. Of course, it will operate with extended memory, a printer, more disk drives, and a hard disk. Operation of the program is simplified by the use of the Amiga's pull down menus, multiple windows, gadgets and the mouse. There are keyboard equivalents for almost all of the menu/mouse commands to avoid the annoyance (to good typists) of always reaching for the mouse. Case has been taken to keep the keyboard menu equivalents consistent and meaningful (usually) to the function which each activates. For your convenience there is a chart of the menu shortcuts in the back of the manual. MicroMaster Incorporated welcomes any and all comments, good or bad, about our products. Thank you for purchasing our product. Terms and Definitions Throughout this manual there are many references to terms such as gadget, mouse, pointer, and menus. If you are not familiar with these or any other term used within this manual, we suggest that you refer to any and all manuals that you received with your computer. The glossary and Chapter 3 of The Introduction to the Amiga book contains very good explanations of these and many more Amiga related terms. The YFT program supports and uses the Amiga's windowing, menus, gadgets, and mouse. References in this manual to menu selections indicate to press and HOLD down the RIGHT mouse button while moving the mouse to highlight a menu choice from the top of the screen. To select the highlighted command, release the mouse button. Gadgets (boxes) are selected by positioning the mouse pointer over the gadget, pressing and releasing the LEFT mouse button. If a gadget or menu selection is "ghosted", covered with a pattern of dots that make the image appear clouded, this item has been disabled by YFT. A gadget or menu item is disabled when its use would not be appropriate. Almost all of YFT's gadgets have equivalent menu choices. Each menu choice has a menu (keyboard) shortcut. The menu shortcuts are activated by holding down the right Amiga key (the fancy A to the right of the space bar) and pressing the key of the menu selection you want to make. The key for each menu selection is shown in the menus and in Appendix A of this manual. Any YFT gadget labels that contain a number to the left of a choice will accept the shown number as input in addition to selection by the left mouse button. An example of this type of selection is found in the Search window. Your Family Tree uses multiple windows to display the individual and family information. The following windows are referenced throughout this manual. These explanations will help you become familiar with the many windows of YFT. Individual window: This is the main window of YFt. This is the first window displayed when YFT is started (excluding the title screen). This window contains the personal information of an individual and it is from this window that most functions are activated. Family window: This window is opened when either the Family Groups or Parents gadget is selected. This window contains the marriage information, spouses names and gadgets for any family related functions. Edit Marriage window: The edit marriage window is opened when Edit is selected from the Family window. This window provides for the editing of the marriage information and entering or changing the spouses. Children window: This window is opened when the Children gadget is selected from the Family window. It is used to display, add, and delete children of a family. Person Locator window: This is a small window that opens in the center of the screen when a Reference ID must be selected for some other function. This window provides several methods of locating the individual. Search window: Whenever you select to search for an individual, this window will open to allow you to enter the text you would like to find. Reference/Marriage ID window: This window opens to request your entry of either a Reference ID or a Marriage ID. When the window opens in the center of the screen, its title tells you what it is asking for (Reference of Marriage ID). Report window: This window opens when the Reports menu is selected from the Individual window. It presents the report selections and options for your selection. Configuraion window: This window is activated with the Configure YFT selection of the Individual window's Option menu. This window is used to configure the YFT program to your system. Color window: This window provides you with a way to change any of the eight colors used by YFT. Select Colors from the Individual window Option menu. Requesters: These small (usually white) windows open in the upper left hand corner of the screen. They are used to ask for verification of an operation and to inform you of errors or problems that may require attention. Should one of these requesters open on the Workbench screen (possibly asking for a disk), you may have to manually move the YFT screen to the front of the display. This is done by holding the left Amiga key (either a fancy A or the C= to the immediate left of the space bar) and pressing the N or M keys. File Name Requester: This is a slight variation of the normal Requester. This window opens in the cneter of the screen and asks you to enter a filename. It is used when opening and creating data files. This manual will refer to selections through either the gadgets or the menus. In actual use any operation can be accomplished by using it's menu, gadget, keyboard, or number equivalent. You may use whichever you prefer. In order to keep the manual as short and clear as possible, we have in most cases presented a single way of performing each function. These are by no means the only way. YFT has been designed for your ease of use. Any operation that may have drastic result (such as deleting data or making changes to the information) has a way to cancel or exit out safely. We suggest that you read through this manual completely before you start to use YFT. A complete understanding of the basics of YFT will make your learning much faster and easier. There is a set of sample data on the YFT disk: it's filename is FINTEST. Use this data to learn how to operate YFT. The sample data contains enough information to print complete reports and learn about operating Your Family Tree. Sample Date Disclaimer The names, places, dates, events and descriptions provided with Your Family Tree as the sample data file FINTEST are completely fictitious. Any similarity between the sample data and actual persons or events is purely coincidental and not intended to reflect the family or history of any actual people. The data is provided for training purposes only. A Note About Piracy SOFTWARE PIRACY IS A CRIME You are entitled and encouraged to make BACKUP copies of your original YFT disk, for your own protection and convenienct, BUT it is ILLEGAL to give away, sell, or otherwise distribute a copyrighted product (of which this is one). A lot of time, money, and hard work went into producing this product. Piracy hurts everyone by depriving programmers and publishers of revenues from the sale of their products. This, in turn, hurts YOU, the user, by discouraging companies from producing and supporting quality products. Help us continue to provide you with quality software products by spreading the word and not the program. Remember: YOU could not afford to continue at a full time job with very little or no salary. Chapter 2 2.1 Installing Your Family Tree 2.1.A Data Disk Requirements Before you begin using YFT, make a backup of the original program disk. Store the original YFT disk in a safe location. The copy of the YFT disk should be the disk you use for your daily YFT operations. Should any harm come to your daily use disk, you will still have the original YFT disk. You should also make frequent (at least daily) backups of your data disks. Refer to your Amiga manuals for information about making backups (copies) of disks. REMEMBER: MAKE BACKUPS OF YOUR DATA !!!! Floppy Disk: You will need blank, formatted floppy disks, to use as your data disks (refer to your Amiga manual to learn how to format a disk). You may use a minimum of one data disk and a maximum of three. It is suggested that you name them "YFTDATA1", "YFTDATA2",... These simple names will be easy to use and remember in the Configuration of YFT (Chapter 3). Hard Disk: You will probably want to create a partition or subdirectory for the YFT program and data. Your Hard Disk manual should explain how to do this. Any references to inserting data disks cah be ignored by hard disk users. Simple names are suggested for subdirectories, such as "YFTDATA'. 2.1.B Single Floppy Installation. Your Family Tree comes configured to run on a single floppy system. The YFT disk contains Workbench V1.2 along with a set of sample data files, the YFT program, and a program called FIXYFT which may be used to recover damaged data files. YFT comes configured to use the sample data files. This allows you to quickly start learning how to use Your Family Tree. you will need one (or more) blank formatted disk to use as your Data Disk(s) when you decide to create your own data files. The easiest way to use YFT on a single floppy is to start it from Workbench (section 2.2.A), but you may also run the program from the CLI. The YFT configuration Paths should not have to be changed to use the sample data, they all go to YFT: (more about this in Chapter 3). REMEMBER: MAKE BACKUPS OF YOUR DATA !!! 2.1.C Two (or more) Floppy Disk Drives You may start YFT on a multiple floppy disk system by using either of the two methods explained in Section 2.2 and then inserting your Data Disks. Use the Configure YFT to tell YFT what data files you want on which disk (refer to Chapter 3). REMEMBER: MAKE BACKUPS OF YOUR DATA !!! 2.1.D Hard Disks To use YFT from your hard disk you will have to copy the YFTree program from your original disk to the subdirectory you have created for YFT (see Hard Disk in 2.1.A). The quickest way to do this is through the CLI. Workbench users must first open the CLI from the system drawer of the workbench disk. Once the 1> prompt is displayed and the original (or backup copy) YFT disk is in one of the disk drives, type: execute YFT:InstallYFT HARDDISK Press RETURN or ENTER where HARDDISK is the volume (DH0:, DJ0:, DH2:, etc) and the subdirectory where YFT is to be placed. Example: execute YFT:InstallYFT DH2:MyYFT. Once the files have been copied, type ENDCLI (press return). You may want to consult your hard disk manual, Amiga manual, "computer expert" friend, or if you just can't get it working, call our Tech Support for assistance. REMEMBER: MAKE BACKUPS OF YOUR DATA !!! 2.2 Running Your Family Tree 2.2.A Workbench (most common method) Steps to run Your Family Tree from Workbench: 1) Insert the YFT disk when your computer asks for Workbench. The YFT disk contains Workbench V1.2 2) Double-click (left mouse button) on the YFT disk icon. 3) Double-click on the YFTree icon (in the new window). YFT is now loading. When the program has loaded and the drive light is off, insert your data disks. Before you start using YFT for your own data you will have to configure the YFT system (refer to Chapter 3). You may also boot the computer with your normal Workbench disk. The to use YFT, insert the YFT disk in any drive and continue with step #2 above. 2.2.B CLI If you are running YFT from the CLI, it is assumed that you know a little about the CLI. Once you have the CLI opened and waiting for commands, insert the YFT disk in any drive and type RUN YFT:YFTREE and press return. YFT will now be running and ready to go, and you may now insert your data disk(s). Again, refer to Chapter 3 about configuring YFT to your system. Chapter 3 3.1 Adjusting Colors The Option menu of the Individual window contains two selections, COLORS and CONFIGURATION. Select the COLORS option to adjust any of the eight colors that YFT uses. This color adjustment operates in much the same way as the Preferences option of WorkBench. The labeled gadgets on the left side of the Color window do exactly as they are marked. The ORIGINAL box sets the colors to the original values of YFT. RESET sets the colors to the values that were set when you entered the Colors window. The USE allows you to use the current colors, without them being saved to disk. SAVE writes the color settings to a disk file for use next time YFT is used. CANCEL exits the color window ignoring any changes you have just made. 3.2 YFT Configuration 3.2.A YFT Configuration Basics Configuraing YFT means telling the YFT program where it can find or should place your data files. The Configuration window also allows you to adjust the Print size and Line Spacing of the printed reports. To change any of the Configuration options, position the mouse pointer over the option you want to change and press the left mouse button once. The Report File and Paths are text gadgets that you can edit with the keyboard, the others change each time you select them. The OK box will save and use the configuration you have selected. There are three "Paths" that must be set in order for YFT to locate the data files. A Path is the drive or disk name and any subdirectories that must be accessed to find the data. The three Paths that must be set are the Main Path, Family Path, and the Note Path. These are the Paths to the Individual (main) data file, Family data file and Note data file, respectively. To use the sample data supplied with YFT, all three Paths are all YFT:, which tells the program that he data files are on the disk labeled (named) YFT, the main program disk. Another example: if the Family file is located on a disk called MYDATA#1 and in the subdirectory called InHere you would set the Family Path to: MYDATA#1:InHere You MUST set the Paths to tell YFT where you want your data files BEFORE you create them. You will probably not have to change the Paths after your initial setup unless you move the data files to a new disk (or hard disk) or start another new project with YFT. The Paths and other parameters that are selected in the configuraion window are saved to the disk and directory with the main YFT program, so when YFT is used again, it will automatically load your configuration. NOTE: Your Family Tree will NOT allow you to change paths while any data files are open. 3.2.B Path Configuration Examples Here are some example Path configurations for various Amiga systems. The data floppy disks are labeled (named when formatted) YFTDATA1 and YFTDATA2. The YFT program disk (a backup copy, of course) is labeled YFT. The colon must follow any disk or device name, such as YFTDATA1: df0: dh0: DDISK: Single Floppy Disk Drive: The amount of data space is very limited in this configuration and not recommended. Main Path : YFTDATA1: Family Path : YFTDATA1: Note Path : YFTDATA1: All the data files are on the same floppy, the one labeled YFTDATA1. Dual Floppy Disk Drive: Once YFT is running, YFTDATA1 goes in drive df0: (internal) and YFTDATA2 is in the second (usually external) drive. Main Path : YFTDATA1: Family Path : YFTDATA2: Note Path : YFTDATA2: Here the individual file is on YFTDATA1, and the family and note files are on YFTDATA2. This is probably the best configuraion for dual floppy disk users. Hard Disk: This is the best configuration for YFT. It is recommended that you dedicata a drive partition to YFT (or at least a subdirectory) to allow for easier backup of your data files. If you have created a subdirectory on drive partition DH0: called MYYFT for YFT, then your configuration would look like this: Main Path : DH0:MYYFT Family Path : DH0:MYYFT Note Path : DH0:MYYFT 3.2.C Final Word About Paths YFT is very flexible with the path configuration and there are many possible configurations. It is best to keep it simple: with one floppy disk drive, put all the files on one data disk. With dual floppy disk drives, use two data disks. Of course, if you like swapping disks in and out, you can place each set of files on a separate floppy. YFT will request whatever disk it needs. This is NOT recommended, but it will work. If you will be working with large families and a lot of information, you really should have a hard disk. The time and headaches it will save are well worth the money spent. Hard disk users, keep all the files in the same disk partition, and use the biggest partition (within reason) available. Keep the subdirectory names short, but understandable. Background information about paths, disk labels, subdirectories, and filenames can be obtained from your Amiga manuals and the many other fine Amiga user's books. 3.2.D Configuration Options The Configuration window also allows you to select the mouse pointer, adjust report output, and name the report output file. The default print size and line spacing may be set with the Configuration window. Some reports automatically default to certain print sizes or spacing. YFT will ignore your settings on these few reports. 3.2.E Line Spacing There are two Line Spacing selections, 6 lines Per Inch (LPI) and 8 LPI. The Line Spacing tells the printer how many lines are to be printed in an inch (counted vertically). On a standard 8.5 by 11 inch page, there are 66 lines with 6 CPI (11 inches times 6 lines per inch). On the same size page only using 8 LPI there are 88 lines of text. The Family Group reports default to 8 LPI. 3.2.F Print Size Print Size has three selections, 10 characters per inch (CPI), 12 CPI, and 17 CPI. The higher the CPI, the smaller the letters, and thus more characters across a page. The pedigree charts default to 17 CPI to allow the maximum amount of information on a page. 3.2.G YFT Pointer The Pointer option allows you to select the YFT pointer, or use whatever pointer is in use by the Workbench used to boot the system. The YFT Workbench disk has the common "red arrow" pointer. You may use Workbench Preferences to create whatever style pointer you prefer. 3.2.H Report Output The Reports To option of the Configuration window allows you to select where the reports will go. They may be sent to the printer or saved to a disk file. When reports are sent to the printer, YFT will use whatever printer driver is selected in the Preferences option of Workbench. (Refer to your Amiga manual for more about selecting a Preferences printer and customizing the pointer.) NOTE: To properly print, YFT requires the margin settings in the Workbench Preferences to be set at 1 for the left, and 140 for the right. Some reports may not print properly if you are using the Generic printer driver. To save reports to a disk file, you must enter the path and filename to tell YFT where you want the reports saved. 3.2.I Report File Report File is the path and filename to save the reports to. Each report will create its own file, using the supplied Report File name as the filename, followed by the number of the report, a period, and ending with the Family or Reference ID used to prepare the report. The filename and Path can direct the reports to any disk drive (or other Amiga device). Most often if no Path is entered with the filename, the reports will be saved to a file on the current default Path. NOTE: Some reports will not be easily readable from a disk file since the Amiga cannot display the different print sizes required by some reports. Chapter 4 Creating, Opening, Closing Files and Quitting The first step in creating or opening files is to set the configuration to the proper Paths for the data files (where you want them to be when they are created). Chapter Three covers configuration in detail. Once you have the three Paths set in the configuration, you are ready to create or open the files. It is suggested that you "play" with the sample data provided with YFT. The sample data will allow you to learn how YFT operates and actually use YFT before beginning to enter your own personal family data. 4.1 Creating Files Select the CREATE NEW on the Project menu of the Individual window. Then enter a filename for data files. Enter ONLY THE FILENAME, otherwise you WILL NOT be able to move you data files to other disks in the future! This filename will be used as the root for the seven data files created by YFT. If a file with this filename already exists, YFT will warn you, and ask for approval to create over the existing file. Creating over a file ERASES ALL DATA that was in the file. The Paths from the configuration will be used to place the files in their proper places. Once the files are created YFT will automatically Open the files and (once it tells you the file is empty) YFT is ready for use. You will probably only have to create one set of files for your family data. If you are tracing several unrelated family histories, you can create a set of files for each project (most likely on separate data disks). 4.2 Opening Files When using data files that already exist, the files must first be opened. The OPEN command is located in the Project menu of the Individual window. The Paths should already be set in the YFT Configuration. If they are not correct they must be properly set for the Open command to operate correctly. Enter the name of the file to be opened (the same name that was used to create the file). YFT will open the file and display the first record (person) in the file. The database is now ready for use. 4.3 Closing Files There can be only one set of data files opened at a time. In order to work with a different set of files, the currently opened files must first be closed. Selecting CLOSE from the Individual window's Project menu ensures that the data is correctly written to disk and secured for later use. 4.4 Quit This is the only normal way out of YFT, you should NEVER reset the Amiga with open data files!!!! Resetting will almost certainly result in a loss of data. Using the QUIT command from the Individual window's Project menu will automatically close any open files and exit the YFT program. Chapter 10 discusses recovering damaged data files. Chapter 5 General Operation 5.1 Data Organization Information stored in Your Family Tree is organized into two major categories: Individuals and Families. An Individual record consists of a person's personal information: name, gender, dates and places of birth, christening, and death. The Family record consists of the marriage date, place, comments, each spouse's ID and name, and each child's ID, name, and date of birth. The personal information for the family record (names, birth dates, etc) is read from each individual's record. This avoids the unnecessary duplication of data. When information is changed in an individual's record, it is automatically revised in the family record. Notes of an Individual are stored in a separate data file and are linked to the individual's record. By having the individual, family, and note information stored in separate files. They can be divided over several disks or subdirectories, thus permitting larger amounts of data in the database. Each Individual has a Reference ID. The Reference ID is the key to locating people within the database. The Reference ID provides and easy-to-remember, quick-access code for identifying an individual. Individuals are automatically sorted by Reference ID when they are saved to the disk. A Reference ID may be any combination of up to 5 letters and/or numbers. An ID must be at least one character (or digit) long. The Reference ID assigned to an individual remains unchanged for as long as the person is in the database. No duplicate IDs are allowed. Each person must have a unique Reference ID that is assigned when the person is added into the database. When a person is deleted, their Reference ID is free for use by a new person. All Family Groups in YFT also have and ID number. The Family ID (also called the Marriage ID) is assigned by the YFT program when the Family Group (marriage) is created. You cannot enter or change this ID. Family Groups are also automatically sorted by their ID numbers when saved to disk. 5.2 Moving Through the Database There are several ways to move through the file. The main window that is displayed when YFT starts is the Individual Window. This display is used for entering, editing, reviewing, and deleting personal data of individuals. In the bottom center of the display there are two gadgets (boxes) labeled PREVIOUS and NEXT. These gadgets do exactly what they say. They move to the previous or next individual, in Reference ID order. NOTE: If these or any other gadgets are ghosted, they have been disabled by YFT because they are inappropriate for whatever operation you are doing. In the cases of Previous and Next, it is because there are no more records in that direction. The GOTO menu of the main window has several other methods of locating and moving to records, including selections for the Previous and Next gadgets. Other movement commands are as follows: Goto Reference ID: This menu choice asks for an individual's Reference ID and then displays that person's information on the Individual window. This person may now be edited, deleted, or have the family groups and parents updated. Goto Marriage ID: This works in a similar manner as the goto Reference ID, only this function first makes the father the current person (displayed on the Individual window). If the father is unknown, then the mother becomes the current person. Once he new current person is displayed, YFT opens the Family group window and displays the requested family. The family informatin may now be edited, deleted, or more families added to the current person. Children may also be added or deleted. More information about families is in chapter seven. Last Displayed: Your Family Tree remembers the Last person displayed prior to the person now showing in the Individual window. This function swaps the currently displayed person and the last displayed allowing quick recall of the most recently viewed person. NOTE: Selecting this command repeatedly toggles between two records (individuals). 5.3 Parents This menu selection and the Parents gadget perform the same function, they both display the current person's parents. The Parents function allows you to add, delete, or simply view the parent's family group. Through this function you may also examine the current person's siblings by selecting CHILDREN from the parent's Family Group window. Families and Parents are covered in detail in Chapter Seven. 5.4 Family Groups The Family Group gadget provides for a way to enter, edit, and delete family group information for an individual. Chapter Seven covers family groups in detail. 5.5 Notes Each individual may have up to 4000 characters of free-form memos. Your Family Tree has no built-in text editor. Instead it calls a separate program called Ed, which is located on the system volume C: (usually Workbench). This may seem a bit off at first, but this offers much greater flexibility for the user. Just about ANY text edit may be placed in the C: directory and renamed Ed. This allows you to use your favorite text editor or word processor to edit the YFT notes. Chapter 8 contains a summary of the commands for the standard Ed text editor and more information about Notes. 5.6 Search YFT allows searching any of several fields of data and/or the note file of each person for a user entered pattern of text. The Search window contains gadgets for each searchable field (including the notes and Reference ID), a box (text gadget) for entering the text to locate, and the SEARCH and CANCEL gadgets. A search may be initiated from the GOTO menu of the main window or from the Person Locator window when a person is to be located for a family, report, etc. Once the search window is open, follow these few steps to find the desired person: 1) Type the text to be located into the text gadget near the top of the search window. If there is no cursor, click the left mouse button once with the pointer inside the text gadget or select Enter Text from the menu. The text to locate may be any combination of letters, numbers, and words up to forty characters in length. There is no "wild card" symbol, so if only part of a name or word is known, then enter just the known part as the text to locate. The search function is NOT case sensitive, the text to search for may be either upper or lower case when entered. YFT automatically converts the pattern and fields being scanned to all upper case before the search is started. 2) Select the fields to be searched by pressing the number of the box or clicking on the appropriate box with the left mouse button. Each selected field will be highlighted. If you should change your mind about searching a field, don't panic, simply click on the box (or use the number from the keyboard) again and the field will be de-selected. You may select and de-select any of the fields, and change the text as many times as needed before starting the search. 3) Click (left button) on the SEARCH gadget to begin the search. The CANCEL gadget may be selected to abort the search. At this time a window will open which contains the pattern (letter, number, words) being searched for and a CANCEL gadget. The search will continue until a matching record is found. When a match is found, the matching record is displayed and a window opens at the bottom of the screen giving the user three options. You may: 1) OK, Accept this record as the person you are trying to locate. you will then be returned to the window from which you started the search. 2) Try Again, tell YFT to resume the search for the next person that matches the pattern. 3) CANCEL, aborts the search. You may CANCEL the search at any time with either the CANCEL gadget from the Please Wait window, or the CANCEL gadget when a match is found. Should YFT not find a match (or not find another match if you told it to Try Again), a small requester will appear at the top of the screen notifying you "No Match Found". Select the requester's OK gadget to continue. YFT will now place you back at the Search window so you may either search again (using a new pattern or different fields) or CANCEL the search. Your Family Tree begins the search at the very first record in the database and continues until either a match is found and accepted, the search is canceled, or YFT reaches the end of the file without finding a match. When searching for a pattern in the Note field and a match is found, the owner (Individual) of the matching notes will be displayed. YFT does not currently support viewing the actual Notes from the search function. 5.7 Person Locator Window When adding spouses or children to a family or selecting Individuals for reports, a window will open to assist you in selecting the desired Individual. This is called the Person Locator Window. The Person Locator Window provides you with four methods of selecting an Individual: 1) By Reference ID To locate an Individual by Reference ID, select this option. You must know the exact Reference ID to use this option. If only part of the ID is known, use the Search selection (below). Another window will open asking you to enter the complete Referenece ID. Pressing RETURN or selecting the OK gadget will tell YFT that you have completed entering the ID. YFT will now verify that the ID you entered is valid. If the ID is not found in the file, a requester will notify you, then you may re-try. If a valid ID was entered YFT will then return you to the original window that had required the Reference ID. 2) Search By Field Selecting this option allows you to search for the Individual. Refer to section 5.7 for complete details about searching. 3) Add New Record to File This selection allows you to enter a new Individual into the database. Only the personal information on the Individual window may be entered with this option (no families, parents, or notes). Refer to section 6.1 for more information about adding an Individual. 4) Add Unknown to File Adding an Unknown to the file creates a record and Reference ID for a new person. The person's name in the new record is automatically set to "Unknown". You may later edit this new Individual to correct their name and any other personal data as it becomes available. This option is useful if you know an Individual IS married, but you are not sure of the spouse's name. 5) Cancel and Exit This choice aborts the attempt to locate the Individual. In some situations, you will not be able to use selections three and four. When they are disabled they will be ghosted. An example of the disables selections would be when printing a report. 5.8 Make Current Function The MAKE CURRENT function is located in the menus of the Family, Children, and Edit Marriage windows. When this options is selected you will be asked to enter the Reference ID of the person to "make current". This Reference ID will be remembered by YFT. After selecting OK or Cancel from the Reference ID window, you will be returned to the window you were on when you selected MAKE CURRENT. Nothing visible happens, but when you OK or Cancel/Edit back out to the Individual window, YFT will automatically display the person you selected with the MAKE CURRENT function. What actually happens when you use the MAKE CURRENT is tha YFT saves the Reference ID you selected. Then, when you return to the Individual window, YFT automatically calls GOTO REFERENCE ID using the Reference ID you entered. Example: If you are reviewing a family's children and notice one of the names is misspelled, you can select that child using the MAKE CURRENT, and when you are finished with the family, YFT presents you with the child for the name correction. Chapter 6 Individual Records 6.1 Entering a new Individual's Data Entering a new individual into the database is very simple. (The data files must be opened before anything can be done with them.) To enter a new person, choose ADD from the Project menu of the Individual window. The data fields will clear, the window title will change to ADDDING RECORD, and the cursor will appear in the Reference ID field. You may now enter a reference ID code to identify this person. NO DUPLICATE IDS ARE ALLOWED. If the ID you enter already exists, YFT will ask you to enter a new ID. If you ignore this warning and continue entering data with this ID, whenever you try ot save the information, YFT will again ask you to re-enter a new ID. You will not be allowed to save a record with a duplicate ID. You must either enter a unique ID, use the Auto-ID feature, or Cancel the Add. To save you the hassle of thinking up unique IDs, YFT can create IDs for you. To activate the Auto-ID feature, press return when the cursor appears in the Reference ID field. By entering nothing in the ID field, YFT knows that you want it to make up the ID. When you first enter the ADD mode, and the cursor appears in the ID field, the field has already been cleared for you. If you have entered an ID, but change your mind, simply erase the ID completely (using the backspace and delete keys of the keyboard) before you OK this entry for saving. Any spaces, letters, punctuation, or numbers in the ID field will disable the Auto-ID for this record. Pressing return with the cursor in any of the individual data fields will advance the cursor to the next field. This allows you to keep your hands on the keyboard for quick efficient data entry. Should you notice an error in any field, you can simply click the left mouse button with the pointer over the field you would like to edit. You may use the return key or the mouse to move on to the other fields. Pressing return with the cursor in the Place of Death field will not activate the cursor in any other field, since you are at the end of the data entry. If the gender (top center window) needs to be changed, use the mouse (or menu selection) to toggle it to the proper value. You may use the mouse to select any field for corrections. The revision date is automatically updated by YFT whenever you add or edit an individual's information. When everything is correct, select the OK gadget (green box) to add this person to the file and save him/her to the disk. YFT will now make this new person the current person (the one displayed on the individual window). From here you may enter or edit the person's parents, notes, or family groups. These topics are covered in later chapters. 6.2 Editing an Existing Individual's Data Editing an Individual's data is very similar to Adding a new person. From the Individual window, select EDIT from the Special menu. The cursor will be activated in the Surname field and the window title will become Editing Record. You may now edit any of the fields except the Reference ID. Should you try to edit the Reference ID, YFT will not accept your change and redisplay the old ID. Moving between the various fields operates as described in the Add move (section 6.1). The only functions available while in the Edit mode are OK and CANCEL. OK saves the changes to the file, and CANCEL aborts the edit, leaving the file unchanged. To edit a person's Parents, Notes or Family groups, you do NOT use the Edit mode. Changing these are discussed in later chapters. 6.3 Deleting an Individual To delete and individual, the person must currently be displayed on the Individual window. This gives you a last chance to look over this person and decide whether this is definitely the person you want to delete. With the person that is to be deleted showing on the Individual window, select the DELETE function from the SPECIAL menu. YFT will ask you if you are sure you want to delete this person. In case you accidentally select the DELETE, YFT gives you a chance to cancel the delete and continue. When a person is deleted, they are completely removed from the database. Once a person has been deleted there is no way of getting the data back without re-adding the person and re-entering all of their data. YFT automatically removes the deleted person from any parents and family groups he/she was once a part of. The deleted person's ID is now free for re-use on another new person. If this deleted person was the only existing spouse of a family, THE FAMILY GROUP WILL BE DISSOLVED. Ther is a difference between a spouse being UNDEFINED (not having a record in the database) and being simply an unknown spouse. An unknown spouse has a Reference ID, but the person's name is unknown. This is also discussed in chapter seven, adding family groups. Chapter 7 Family Groups and Parents 7.1 Adding Family Groups to an Individual A family group is composed of a Husband, Wife, Date and Place of Marriage, Marriage Comments, and Children. Since an Individual may have more than one spouse, there are two gadgets at the bottom of the Family window, the PREVIOUS and NEXT. These are labeled P and N, respectively. These two gadgets allow you to move to the next or previous family group of the person on the Individual window. When Viewing Parents the P and N are disabled. (A person can have only one set of parents.) The P and N are also disabled if a person currently has only one family. In the upper right corner of the Family window, there is a counter that tells you which of the person's family groups you are viewing. Examples: 1 of 1 3 of 8 To add a family to the person currently displayed on the Individual window, select the FAMILY GROUPS gadget and follow these steps when the Family window opens: 1) Select the ADD gadget. 2) Another window called the Edit Marriage window will open and display the ID and name of the current person as either the Husband or Wife. The cursor is activated in the Marriage Date field. 3) Enter the Marriage Date. When you press RETURN, YFT will activate the next field for you. You may move between the fields just as in editing the Individual data. The marriage ID is created by YFT when the family is saved to disk. You cannot enter or change the Family ID, but it is very useful for quicly locating a family group. 4) Should any of the family information be unknown at this time, you may leave that field empty and edit the information in later. When you have completed entering the Date, Place, and Comments, you will have to tell YFT who the spouse is. 5) To enter the spouse, select either the Husband or Wife gadget (whichever is not ghosted). The Person Locator window will open, and you are presented with several ways of locating the spouse. These options were discussed in chapter 5. If the spouse's identify is not currently known, you should use the Add Unknown function to create an Individual record and Reference ID for the spouse. When the spouse's identity is learned, you may edit it into the Individual record created by the Add Unknown. 6) When all of the data has been entered, you may now select OK to save this information and return to the Family window. NOTE: The data is not saved to the disk yet! 7) The information on the Edit Marriage window may be entered in any order and changed as many times as as necessary before selecting OK. The EXIT gadget will exit the Edit Marriage window and cancel adding the family. If you select OK in the Edit Marriage window, YFT returns to the Family window displaying the newly formed family. You may now select the CHILDREN gadget to add children to this family (see below). If there are no children, you may select OK to save this family to disk and return to the Individual window. CANCEL will exit the Family window without saving the new family to disk. You may add up to eight families (with or without children) to each person. When all of a person's family groups are added, select the OK to save all the new families to disk. When you OK from the Edit Marriage or Children window, the data is not written (or updated, in case of an edit) to the disk. If you have made any changes or additions to the Marriage information or the Children, you MUST select OK on the Family window to save the changes or additions! NOTE: FAMILY INFORMATION, INCLUDING SPOUSE, MARRIAGE DATA, AND CHILDREN IS ONLY SAVED TO DISK WHEN OK IS SELECTED IN THE FAMILY WINDOW. 7.2 Editing Family Groups Editing Family groups operates the same as Adding family groups. If you are not already in the Family window, select the Family Groups gadget from the Individual window. You may use the P and N gadgets to locate the exact family to edit. From the Family window, selecting the EDIT gadget will open the Edit Marriage window, and activate the Date field. You may now edit any of the marriage data fields. You may also replace the spouse in this family by selecting the Husband or Wife gadget to choose a different spouse. A spouse cannot be deleted from a family, just replaced by selecting a new Wife/Husband for the family. (Replacing the spouse actually removes him/her from this family and inserts the new spouse in the place of the old spouse.) As with adding, selecting OK returns to the Family window and displays the updated family information. The EXIT gadget cancels the edit and returns to the Family window. (No data is changed.) Children are edited (added/deleted) through the Children window (see section 7.4). 7.3 Delete a Family Group The Family window contains a gadget labeled DELETE. Selecting this gadget dissolves the family group that is currently displayed in the Family window. When deleting a Family Group, YFT automatically breaks all relations between the spouses and between the parents and children. If only one member of the family is incorrect, this is NOT what you want to do. For example, if you have built a family with both spouses and a few children (children are discussed in section 7.4), and later you discover that you have placed the wrong woman in this family as the Wife (mother). There are several ways to correct this. One method is to GOTO the Husband's record on the Individual window and select Family Groups. Use the Previous or Nest (P or N) gadgets to locate the family with the incorrect Wife. Select Edit and change the Wife to the proper woman. Then select OK all the way back out to the Individual window to save the changes. Another example solution would be to GOTO (Individual window) one of the children of the incorrect family, then select Parents. You are now in the proper family group to Edit. Again just select the Wife gadget to enter the correct person. YFT is very flexible about editing and organizing your data. For Example: Should you have to edit a family in which both parents are incorrect, you should enter the Family window through the Parents gadget of one of the children. When entering the Family window through the Parents gadget, you may edit either spouse. 7.4 Children of a Family Group The CHILDREN gadget of the Family window opens the Children window. This window contains gadgets for ADDing and DELETing children and scrolling through the list of children. The common OK and EXIT gadgets are also present and operate as they do on other windows. The Children window displays eight children at a time. You may use the SCROLL UP and SCROLL DOWN gadgets to move through the list of children. Each family may contain up to 40 children. Between the ADD and DELETE gadgets are two lines of text that tell you which children are being displayed, and the total number of children in the family. To add a child to this family, select the ADD gadget. The Person Locator window will appear. You may use any of the options of the Locator window to tell YFT what person is to be added as a child. If the person you are trying to add already has parents, YFT will warn you and ask for approval to move the child to this family, thus removing him/her from the other family. Remember, the change isn't saved to disk until OK is selected from the FAMILY window, so you can still select EXIT to abort the add/change. The DELETE gadget asks you to enter the ID of the child to be removed. The smaller window may be moved with the mouse if it is covering any of the IDs. The selected person will be removed from the children list, and the list will be re-displayed. Again, the changes are not saved until the OK on the Family window is selected. Deleting a child removes the child from the family group. It does NOT delete the person (child) from the database. You may use the ADD and DELETE gadgets as many times as needed to build or edit the children list. The children in the list are sorted by Birth Data, and are displayed in this order. The oldest child is at the top of the list (position 1) and the youngest is at the bottom of the list (position 40, if there are forty total kids). 7.5 Adding and Deleting Parents Selecting the PARENTS gadget from the Individual will allow you to Add, Edit, or Delete this person's parents. The ADD gadget from the Parent's window (looks exactly like the Family window, but the title across the top is different) will ask for a Family/Marriage ID. This family group will become the parental family of the individual. The individual will be automatically added to this family as a chile. If a person's parental family has to be changed, just DELETE the current parents (wrong ones) then ADD the new (correct) parental family. You may also EDIT the parental family information just as you would with any other family group. If you are unsure of the Family ID you may prefer to SEARCH or GOTO a known parent using the Individual window, then locate the proper family through the known parent and finally add the child to the family. HINT: If you know one parent, but are unsure of the exact family ID, you may prefer to GOTO the known parent (on the Individual window), and locate the proper family group to add the child. Chapter 8 Notes for Individuals YFT allows each person to have up to 4000 characters of free-form memos. To add, edit or delete notes, select the NOTES gadget from the Individual window. YFT will not call (start running) another program called Ed, which stands for Editor. Ed is a basic text editor, a simple word processor that is included in the C subdirectory of a Workbench disk. Ed features many of the same functions found in most word processors. A short list of Ed commands is located at the end of this section. When you have completed editing the notes, press the ESC key, then X, and finally the RETURN key. This tells Ed to save your notes to disk and exit Ed. To cancel the edit and leave the notes unchanged, press ESC, Q, then RETURN. This instructs Ed to just exit without saving the changed notes. You will now be returned to Your Family Tree. It will save the first 4000 characters of the notes you have just entered or edited to the individual's note file. Since YFT calls another program for editing the notes, you may replace Ed with your favorite word processor or text editor. You must rename your word processor or text editor to the name of Ed, since this is the name YFT expects to use. In this case the above commands would probably not apply. The only drawback to this system is that if you want to use a very complete word processor, you may not have enough free RAM (memory) to run both YFT and the word processor. Any files saved from your word processor must be in ASCII or plain text to be used with YFT. Following are the most common commands for Ed, the text editor: The Return, Backspace, Del, TAB, and the cursor keys operate as normal. Ed has many more ocmmands than are listed here, but these few basic commands are all that is really needed to operate Ed. A complete list of Ed's commands can be found in Appendix B of your Introduction to the Amiga manual or in the AmigaDOS Users' Guide. Ed Commands Command Action ======= ======= ESC X Save file and Exit Ed ESC Q Exit Ed, no save CTRL A Insert Line CTRL B Delete Line Chapter 9 Reports 9.0 Introduction to Reports This chapter contains a short summary of each of the reports that Your Family Tree can produce. To produce reports, select the REPORTS option of the Special menu on the Individual window. The Reports window contains a gadget for each of the ten available reports. The report to be printed (or saved to a disk file) is selected with either the mouse or the keyboard numbers. Near the bottom of the Report window are two special options and the EXIT gadget. The two special options are the Form Feed and the Configure YFT. Selecting the Form Feed gadget causes the printer to eject a blank page of paper. This is useful after printing reports to eject the page far enough out of the printer to be easily separated. The Configure YFT option opens the Configure YFT window just like the meny of the Individual window. This window allows you to change the Print Size and Line Spacing of the reports (refer to sub-sections D through I of section 3.2). Once a report has been selected, a window will open to tell you to wait while the report is printed. Selecting the CANCEL gadget of the Wait window will cancel the report. Most single page reports will not cancel, since hey are very short and do not take long to prepare (by the time you decide to cancel, YFT has nearly completed the report and is waiting on the printer). Each report has it's own title, date and time of printing, and the filename of the database printed at the top of each page. The sample data provided with YFT has enough room to print complete samples of all the reports. We recommend that you print all the reports and look them over to get a better understanding of what information they contain and how they are organized. (For most reports described, there is a suggested Reference or Family ID to use when printing reports from the sample data.) 9.1 Individual List by Reference ID (Report 1) This report produces a complete list of all individuals in the file, sorted by Reference ID. The Reference ID and full name of each person is printed. 9.2 Individual List by Surname (Report 2) This report provides the same information as the List by Reference ID, only this report sorts the people by their Surname. 9.3 Family List By Marriage (Family) ID (Report 3) This lists all families of the database in Marriage ID order. The following information is printed for each marriage; Marriage ID, Date of Marriage, Number of Children, Last Revision Date, Husband's ID and Name and the Wife's ID and Name. 9.4 Individual Record (Report 4) 9.5 Individual with Notes (Report 5) A single page report containing all the personal information of an individual is printed. Optionally the person's notes are printed on following page(s). The personal information includes: * Reference ID * Gender * Last Revision Date * Full Name * Dates and Places of Birth, Christening, and Death * All Families of this person including: -- Spouse's ID and Name -- Marriage ID -- Marriage Date -- Number of Children * Parent's Marriage ID -- Reference IDs and Names of both parents If Report 5 is selected, additional page(s) will be printed containing the full notes of the individual. The number of pages needed to print an Individual's notes depends on four factors: Print size, Print Spacing, the actual amount of notes, and how they were organized in the text editor. It is not uncommon for a person's Notes to use two or three pages. SAMPLE DATA REPORT 4 and 5: Any reference ID may be used for a sample Report 4, but Reference ID 5 should be used for Report 5. 9.6 Family Group (Report 6) This report may be either a single page or two pages depending on the number of children in the family. This report contains all the information about a family. Information printed is as follows: * Marriage ID * Marriage Date * Marriage Place * Marriage Comments (notes) Information about each spouse: -- Reference ID -- Full name -- Dates of Birth, Christening, and Death -- Places of Birth, Christening, and Death -- Parents' IDs and Names -- Other Wives or Husbands Children: -- Reference ID -- Gender -- Birth Date -- Full Name -- Children are sorted by Birth Date -- If there are more children than can fit on the first page, the list continues to the next page, complete with a new page title. The Family Group uses 8 LPI, and overrides your configuration setting for this report. SAMPLE DATA REPORT: Suggested Marriage ID is 11 9.7 Descendants of Individual (Report 7) This report begins with a person you select and prints all descendants of that person. Spouses are printed, preceded by (s). Each generation indents several spaces up to five generations deep. A vertical line is printed at each indentaion to ease the reading of this report. SAMPLE DATA REPORT 7: Suggested Reference ID is 14. 9.8 Pedigree Chart Single Page (Report 8) This is the ever popular report. Starting with the person you have selected, this report produces the Pedigree Tree Chart. The starting person is on the left side of the page, and looking across the page, left to right, you will see the person's parents, grandparents, and great-grandparents. For each person printed on this report, the Reference ID, Name, Dates and Places of Birth and Death are shown. Since some names and places are larger than the space available, they may be truncated. Any name or place that is truncated to fit will be marked with an * to indicate that it has been shortened. The Pedigree Chart defaults to 17 CPI, and will override your Configurations setting for this report. SAMPLE DATA REPORT 8: USE REFERENCE ID 1A. 9.9 Pedigree Chart Full Report (Report 9) This version of the Pedigree Chart contains the same information as the single page version (Report 8). The only difference is that near the bottom of each page there are two lines: Person and Page. The Full Pedigree Chart starts with the person you select, then continues until the end of the family line. For every great-grandparent on the first page, YFT starts a new page using the great-grandparent as the starting person. This great-grandparent-to-start process continues until there are no great-grandparents on ANY page that haven't been given a starting position on their own page. The full Pedigree Chart can be as long as 64 pages, each page containing 15 individuals. To follow the tree backwards along only the maternal lines you would follow the line back to the starting person's maternal great-grandmother, then look at the bottom of the page to find great-grandma's Reference ID. The page number under her ID is the page in the report where this great-grandmother is the start of the tree (where the maternal line continues). You can continue this tracing until the line ends or the report gets bigger than 64 pages. If your history goes back even farther, you can have YFT start another full pedigree chart of the last person in the line (the two full reports woudl then go back over 128 pages). You can keep printing Full Charts as far back as your data goes, but YFT can only print 64 pages for each starting person you give it. When this report is saved to a disk file, YFT creates a new file for each page of the report. The Reference ID of the starting person is appended to each of the filenames created. SAMPLE DATA REPORT 9: Use Reference ID 1A. 9.10 All Familes of an Individual (Report A) This selection prints a Family Group report for all families of an individual. This provides a complete marriage history of a person, including children. Each family is started on a new page, and the reports are exactly the same as Report 6. This will print a maximum of 8 Family Group reports (the maximum number of marriages any person can have). SAMPLE DATA REPORT 10 (A): Suggested Reference ID is 5. Chapter 10 Damaged Data File Recovery The YFT program disk contains a file recovery utility program named FixYFT. This program may only be run from the CLI. FixYFT will attempt to recover any data files damaged due to system resets or other problems whiel the files were open. If YFT cannot open all the data files, you will be notified of the error. you should then quit YFT and use FixYFT to try to repair any damaged files. Follow these steps to use FixYFT: 1) If you are using WorkBench you must open a CLI window. The CLI icon is located in the System drawer of the WorkBench disk (it is also on the YFT disk). 2) The word FILENAME must be replaced with the name you used to create the (now damaged) data files. At the 1> prompt, type: YFT:FixYFT -i FILENAME.dt (press Return) FixYFT will clear the screen, display a copyright notice, and provide you with some status reports as it attempts to recover the file. When it has completed, the 1> prompt will re-appear. You must now repeat this process on the other two data files as follows: YFT:FixYFT -i FILENAMEfam.dt (press Return) (wait for the 1> prompt to return) YFT:FixYFT -i FILENAMEnot.dt (press Return) If at any time FixYFT fails and reports a serious error, there isn't much else that can be done to recover your data. DID YOU MAKE BACKUPS!!???? 3) Type ENDCLI to close the CLI window.
