MAXI-PLAN PLUS DOCS Freeze Use the Freeze selection to control the dynamic updating of the charts when the data in the charted cells is altered. For a side-by-side comparison of data, you may create two identical chart specifications, freeze one chart, then modify the data, which will update the other chart. Print Use the Print selection to print your chart on a graphics-capable printer. Expand the size of the chart window to its maximum to obtain the largest possible image. If you have a color printer, be sure to set your printer Preferences are set to print in color. Capture The Capture selection will save the current screen image to a file in IFF ILBM (InterLeaved Bit Map) format. This format is compatible with Deluxe Paint, so you may use Deluxe Paint or other IFF compatible paint programs to enhance your chart with other type fonts and illustrations. When Capture is selected, a file selector will appear so you may specify the capture file name and location. Close The Close menu selection will close the chart window. It has the same effect as clicking on the close box in the top left corner of the chart window. Commands Menu The Items in the Commands menu cause MaxiPlan to take specific immediate action. With these commands you can select one or more cells, cause recalculation, add cell notes and charts, insert and fill rows and columns, and easily insert functions and range names in formulas. Select Use Select reposition the worksheet at the specified location. All Cells selects all cells between A and the rightmost, bottommost cell containing data. The window is repositioned with A in the upper left corner. Shift F9 key also performs this function. Last Cell selects the cell in the rightmost, bottommost position which contains data, and positions that cell in the upper left corner of the window. Shift F key performs the same function. Active Cell positions the display so that the currently selected cell is in the upper left corner of the display. Specify Location displays a requester into which you can type the column/row location of any cell in the worksheet. This display will position with this cell in the top left corner. Specify Name displays the Name requester so you may select a cell location by range name. Calculate Calculation may be: Automatic - the entire worksheet recalculates each time any cell is modified. Manual - the worksheet is recalculated only when the Calculate Now menu item is selected. Now - causes immediate recalculation. Equated to Rt. Amiga = keys. Cell Note Cell Note Add or Change allows entry or modification of up to 5 lines of text associated with the currently selected cell. The contents of this cell note can be displayed verbally and visually depending on the setting of the Talking selection in the Options menu. Erase allows the deletion of an existing note. Chart Chart Specify brings up a requester which allows you to select the type of chart, labels, and the range of information to chart. After a chart has been specified, Chart Draw creates a window and draws the selected chart. Chart - selects which of possible chart specifications is to be drawn or edited. Insert/Delete Insert Row/Column allows insertion of rows/cols before the currently selected row or column. All information in the currently selected row or column, respectively, are moved down and a new blank row or column is inserted. Range names and absolute cell references are adjusted, including Chart Specifications. To rapidly insert multiple rows or columns without repeatedly selecting this menu item, use function keys F and F to Insert Rows and Columns. Delete Row/Column will delete the currently selected row or column, respectively, adjusting relative and absolute references and Chart specifications. You will be presented with an "Are you sure?" prompt before actual deletion occurs. If you select multiple rows or columns insert or delete the insertion or deletion will be as many rows or columns as you have selected. For example, if you select rows thru and specify Insert Row then rows will be inserted. If you select columns A and B and specify Insert Column then two columns will be inserted. The same is true for Delete Row and Delete column. You are asked for confirmation only once for multiple deletes. Fill Fill Down copies all information from the top row of the selected range to all other rows in the range. Formulas containing relative cell references are adjusted. Labels and values are simply copied. Fill Right copies all information from the left most column of the selected range to all other columns in the range. Relative cell references, labels and values are handled as in Fill Down. Paste Func/Name Paste brings up a requester containing the names of all MaxiPlan functions. Clicking on the desired function and then the OK button will enter the function in the edit line just as if it had been typed,with a list of arguments dis played in the worksheet title bar. Clicking on the Cancel or closing the window button prevents function insertion. Paste Name brings up a requester containing all currently defined range names. Clicking on the desired name and then the OK button causes it to be entered into the edit bar as if it had been typed. Clicking onthe Cancel button or closing the window prevents name insertion. Read Range Read range will cause the contents of the currently selected range to be verbally recited. This is useful for proofreading lists of data transcribed from other sources. Specify Password This menu item allows you to specify a password used to control the Password format. See the format menu for an in-depth discussion. Data Menu The items in the Data menu allow you to use MaxiPlan's database functions on the contents of your worksheet. You must first define a range consisting of two or more rows, the first of which contains the "category names." The remainder of the rows contain data. You can also define a "criteria" range which allows you to find, delete and extract selected data from the data range. Find Find - Starts at the top of the current data range and position to the first record which matched the selection defined by the current criteria range. Once a match has been found, the up and down cursor keys allow you to select the next or previous match. You must click on the [x] button or type Esc to leave Find mode. Extract Extract - Copies data from the orignal data range to an output range. Only those records matching the current criteria are copied. You must select an output range before selecting this menu item. All - all records are copied, even if they already exist in the output range. Unique - Only those records which do not exist in the output range are copied. Duplicate records are dropped after one copy is present in the data range. Delete Delete - Allows you to remove information from a data range. When a record is removed, all records below it are moved up one row and a blank record is inserted at the bottom. A requester verifies each deletion. Single Record - deletes the currently selected record. Matching Records - deletes all records matching the criteria. Set Data Range Set Data Range allows you to consider the currently selected range as a database. If data ranges have previously been specified, select this menu item with only a single cell selected to bring up a list of data ranges to choose from. To define a new Data Range, you must first select a range consisting of one row of category names and at least one row of data before selecting this menu item. Set Criteria Ran Set Criteria Range allows you to consider the currently selected range as the criteria area for the most recently selected data range. The range must be at least two rows high and one column wide and must have no more columns than the currently selected data range. The first row should contain the field (category) names to which the following row or rows apply. The rows after the category names consist of match information. If more than one field is filled in within a given row, then ALL CONDITIONS within that row must be met (AND function). If more than one row is filled in then any of the rows causing a match will select a record ( OR function). Combining proper row and column usage will create complex comparison conditions. If criteria ranges have already been specified, use this menu selection with a single cell selected (not a range) to bring up a list of criteria ranges to select from. Sort Sort uses the current criteria range to determine which order in which to sort, then rearranges the current data range into order. The criteria fields should contain numbers from to n (where n is the number of fields on which to sort). These numbers tell MaxiPlan what order to sort the fields. For example, to sort a phone list by last name, then first name, put a in the last name field and a in the first name field. Please see the example worksheet: DB_DEMO Save Data as Tex This selection will bring up a file selector to allow you to define a file name, then saves the category names and data records from the currently selected database or currently selected range to a file with tabs separating each category name and each field within a record. Each record is saved as a separate line. Each field of the record is separated by a single tab. Load Text as Dat This selection brings up a file selector to get a file name, then loads the information from that file into the currently selected database. The file must be saved in text format using Save Data as Text. That format is each cell separated by a single tab character. Edit Menu This menu is used to control the clipboard it is also used to handle definition and use of cell names. Cut To use the Cut function, first select a range ( or several cells ) with the mouse, then pull down the Cut menu selection. The selected range will be erased from its current location and copied to the clipboard. The F function key will perform the same function as the Cut menu selection. See the Paste topic for further instructions. Copy To use the Copy function, first select a range of cells with the mouse. Pull down the Copy menu selection, and the range will be copied into the clipboard. The F function key will perform the same function as the Copy menu selection. See the Paste topic for further information. Paste To use Paste the contents of the clipboard, select the top left cell of your desired destination range, then select Paste from the menu. If the clipboard is empty ( i.e. you have not loaded it with Cut or Copy ), Paste will have no effect. The F function key equates to this menu selection. Paste Data Paste data works like Paste except that it transfers only the data portion of the source range into the destination range. If the source range contains a formula, the results of the calculation will be put in the destination, but the formula will not. You can use this to include the result of a sum as data in another range. Clear To clear a cell or a range of cells, select the range with the mouse, then pull down the Clear menu item. You will be provided with an "Are you sure?" opportunity to change your mind before erasing the cell contents. The F function key will perform the same function as the Clear menu selection. Clear data Clear data clears only the information in the designated range without clearing the format information. You will be provided with an "Are you sure?" opportunity to change your mind before erasing the cell contents. Define Name To define a named range of cells, first select a cell or a range of cells with the mouse, then pull down the Define Name menu item. A requester will appear indicating the extent of the range you have selected. Click on the name field and type in a range name up to characters. Range names with leading spaces will not be accepted. Embedded blanks in range names will be "squeezed out". If you have any question about the resulting name, pull down the Paste Name menu item on the Commands menu to view the current list of range names. Delete Name Use this menu selection to remove a name from the list of range names. The list of current range names will be displayed. Select the name you wish to delete with the mouse or cancel. General General is the default format. Text is shown left justified and numbers are right justified. Numbers are displayed with the greatest precision possible in the given cell width. Dollars, Fixed Dollars format assigns a default of decimal places and right justification (both modifiable) and prefixed the leftmost digit with a dollar sign. Fixed format displays a fixed number of decimal places based on the Decimal Place menu setting. Date, Time DATE and TIME functions on the Amiga return numeric values representing the number of days since Jan. , , and the number of minutes since midnight, respectively. Date and Time formats permit a more familiar appearance. DateE allows display in dd-MM-yy, dd-MM, and MM-yy formats. Time displays in HH:MM AM format. Decimal Places The subitems in this menu control the number of decimal places used for items of FIXED format only, selectable between none and . Percent Percent format effectively multiplies the cell value by , then displays as many decimal places as possible plus a % character. Pen Color, Style Pen Color allows the assignment of one of pen colors to a cell, ONLY IN ENHANCED COLOR MODE. To modify the color choices, use the Change Colors menu item on this menu. Style allows assignment of bold, underline, italic, or combination of these styles to a cell range. Commas Numeric fields of any format are delimited by commas every digits to the left of the decimal point when the Commas format is on. Width, Alignment Width of all cells in the selected column or range of columns is set with these menu subitems. Standard width is characters, Wide uses characters, or any width to a maximum of characters may be specified. Alignment can be selected as Default, Left, Center, and Right. Default alignment displays text left justified and numbers right justified. Protect/Password The currently selected range is protected when you select YES or unprotected when you select NO. When a cell is protected, you cannot change its contents. To activate protection for cells, Protection must be enable in the Options menu. In addition to simple modification protection, MaxiPlan also allows password protection. This means that you can create worksheets in which your "user" can input data but not see such critical items as your standard discount, cost of goods, etc. To protect a range with a password you must select the range and then select Password/On. To set the password you must select Specify Password from the Command menu. Until you specify the password the data is still unprotected unless you also used Protect/On. Once you specify the password and save your file you must then specify the password before you can see the data again. Once you have specified the proper password your date becomes visible. When your data is password protected and you have not yet given the password your cells will be shown as: ญญญญญ characters. For master template builders: . Build your worksheet just like normal. . Specify the password. . Select the ranges you want hidden and protected from view. . Select Password/On from the format menu for each range. . Save your worksheet. Then when the user uses this template he/she will not be able to see the protected data. To modify your data simply specify the password and the Password protected areas become visible. Note that simply specifying the password does not remove the password attribute and the next time the worksheet is loaded the password must again be specified to see the data. Change Colors The palette of colors can be modified using this menu selection. Red, green and blue slider gadgets are used to modify the colors in a manner similar to that used in Preferences. These colors are saved with the worksheet file so they may be recalled on loading. All of the worksheets open at one time will appear in the colors of the worksheet opened LAST. Macros Menu The Macros menu exists on both worksheets and macrosheets. On a macro sheet it consists of: Set Recorder Run On a worksheet it consists of: Run Start Record Stop Record Record Mode If you open a macrosheet whose first column contains the word AUTOMATIC then MaxiPlan will run the macro beginning in cell A on the macrosheet. Using Set Recorder/Start Record and Stop Record you can make MaxiPlan "learn" a set of steps and record them as a macro. Set Recorder This exists on the macrosheet Macros menu only. To begin recording a macro enter the name of the macro into a cell on the macrosheet. Select that cell and select Set Recorder from the macrosheet's Macros menu. This will both enter the name in the current cell as a macro name as well as tell MaxiPlan to begin recording information in the cell immediately below the seleted cell. Run This menu item is used to execute macros from the currently selected macrosheet. You can also use F followed by a letter to execute a macro which begins in row of the column specified by the letter (e.g. F followed by A executes the macro in column A beginning at row . You can specify by name (using a list selector) or run any macro in row of columns A thru N. Start Record Once you have set a location to record (using Set Recorder from the Macros menu on the macrosheet) Start Record begins placing into the selected column of the macrosheet generated macros that are the same as the actions you perform between Start Record and Stop Record. Stop Record This item stops any macro build in progress. If a macro build was in progress it is terminated by putting a =RETURN macro at the end of the macro. Then macrosheet is brought to the front but not activated. Record Mode This menu item has two options: Absolute Relative Absolute tells the macro recorder to put regular cell references into the macro such as =SELECT(B). This means that when the macro is played back it will operate on the same cells that the original macro modified no matter where the selected cell is when the macro is run. Relative means that the recorder uses the CELL function for cell references such as: =SELECT(CELL(,-)) and if the macro is played back it will modify the cells in the same relative position to those in the original recording. DisableAUTOMATIC If you create a macrosheet in which the macro that begins in cell A contains the label AUTOMATIC (in upper case with no blanks) then when this macrosheet is loaded the macro RUN command is automatically started at cell A and runs until the macro completes. To edit a worksheet containing such a macro you must select Disable AUTOMATIC Macros from the menu of the Control window. When this is selected all macrosheets containing AUTOMATIC macros are loaded but not executed automatically. To simulate the function of AUTOMATIC for testing purposes just press F followed by A. You may select among several types of numeric displays, data and time formats, colors, type styles and justification. You may also specify the number of decimal places, the use of commas in numeric display, and cell width. Cell protection is also turned on and off from the Format menu. The eight colors in the Enhanced Color mode can be modified with the Change Color selection. Options Menu The Options Menu allows you to toggle certain options relating to video and audio display of the worksheets and its contents. Commands Menu The Items in the Commands Menu cause MaxiPlan to take specific immediate action. With these commands you can select one or more cells, cause recalculation, add cell notes and charts, insert and fill rows and columns, and easily insert functions and range names in formulas. You may also print your charts to a graphics- capable printer, or capture the chart window to an IFF file which you can enhance with IFF compatible paint programs. Function Keys The function keys (F-F) perform several commonly used MaxiPlan functions with one keystroke. A template is supplied with MaxiPlan which you can place in the tray above the function keys to provide a quick reference. The key functions are as follows: F1 - Calculate Now Shifted F1 - Specify Chart F2 - Cut Shifted F2 - Draw Chart F3 - Copy Shifted F3 - Next Chart F4 - Paste Shifted F4 - Print Wksheet F5 - Clear Shifted F5 - Save As... F6 - Execute Macro Shifted F6 - Wksheet Status F7 - Fill Right Shifted F7 - Change Colors F8 - Fill Down Shifted F8 - Next Color F9 - Insert Row Shifted F9 - Select A F0 - Insert Column Shifted F0 - Select Last Cell In addition, Shift and the Arrow keys will select the last cell containing data in the direction of the arrow key pressed. For example, Shift and the Up Arrow key will select the topmost cell containing data in the current column. Control and return will select the cell in column A of the next row. Note that F has changed from release ./. to allow keyboard execution of macros. Options Menu The Options menu allows you to toggle certain options relating to video and audio display of the worksheet and its contents. Show The Show option allows you to select between displaying cell values or formulas in the body of the worksheet. Talking The Talking options control the video and audio response to the HELP key when a cell contains a cell note. When Text Only is selected and a cell note is present, the cell note will be shown in a window with an OK button. The Speech Only selection causes the cell note to be spoken only. Selecting Text and Speech gives both video and audio presentations. Wordstar Keys If the Wordstar Keys option is on, you can move the cell selector by using the following control keys: Key Action Control-X Move selector DOWN Control-S Move selector LEFT Control-D Move selector RIGHT Control-E Move selector UP Protection When the Protection is Enabled, the setting of the protection attribute ( which is set using the Format menu ) is examined when you attempt to make changes to a cell. When Protection is Disabled, all cells may be changed regardless of their protection attribute. Freeze Titles The Freeze Titles option allows you to freeze the Horizontal titles (located in Row ) and/or Vertical Titles (located in Column ) from scrolling. This allows you to scroll throughout the worksheet while leaving the Row and Column labels in view for easy identification. Keyboard Echo If Keyboard Echo is selected ON, your keystrokes will be verbally echoed as you type them. This is useful when transcribing lists of numbers using the ten-key pad. Display Grid If Display Grid is turned on, a grid of horizontal and vertical grid lines will be displayed in the worksheet window. Return Key This menu item allows you to control the direction the selection cursor moves when you press the Return or Enter keys. Normally, Return/Enter is the same as a cursor DOWN. By using this option you can choose to make Return/Enter move RIGHT or not move at all. Normally you can move right by selecting the tab key but there are times when entering large quantities of data that moving to the right particularly with the Enter key can be useful. Not moving can be used when you have built a complex worksheet and wish to continually change a single value until you achieve a desired result. Calc Order Normally, MaxiPlan computes the result of formulas in a worksheet in a column-wise fashion with "natural" look-ahead. This means that cells are evalutated by moving down each column in order, beginning with column A and then procesing all rows in column A before evaluating the formulas in column B, etc. If a cell refers to a cell that is yet to be evaluated MaxiPlan will save its current work and look-ahead and evaluate the forward reference and then continue with the current formula. You can choose to calculate in either column-wise without look-ahead or in row-wise without look-ahead. Project Menu This menu is used to control the overall MaxiPlan program. New and previously entered worksheets can be loaded and saved, all or part of the worksheet may be printed with options defined by the user. Worksheet status displays information including the number of cells used, memory available, and clipboard size. New Worksheet Use this menu item to initialize a blank worksheet. Open Worksheet This menu item will call up the File Selector so you can indicate which worksheet to load. The File Selector will initially examine the Worksheets drawer (if it exists) on the current drive. If there is no such drawer, it will examine the root directory ( Top Drawer ). Only worksheet files created by MaxiPlan can be loaded with this menu selection. Text files can be loaded with the Load Text as Data selection in the Data menu. Close Worksheet Use this selection to close the worksheet. This selection is equivalent to clicking on the close box gadget in the top left corner of the window. Save+Save As... Save will save the current worksheet with its current name without exiting MaxiPlan. Save As allows you to save a worksheet under a different name or on a different disk. If you have one disk drive you should type in the name of the disk into the PATH gadget and then click on the directory area to see files on that disk. Remember to type a COLON (:) after the name of your disk (e.g. EMPTY:) Delete File This selection allows you to remove (discard) a file from your workbench without requiring you to Open Workbench. It is useful if you do not have enough memory to use the Open Workbench or just simply want a shorter way. NOTE: You must reply twice to make the file truly disappear. Print If a range of cells is currently selected with the mouse, that range will be printed. If no range is selected ( i.e. only one cell is highlighted ), the entire spreadsheet will be printed. You may print to a printer or send the data to a file. If you choose to print to a file, the File Selector will allow you to choose a new file name or use an existing file. Print Setup Use these selections to add page numbers, grid lines, row and column notation, date and time, and a worksheet title to your printout. Worksheet Status This selection displays information about the number of cells used, free memory available, calclulation mode, clipboard size, talking and protection mode status, number of charts used and location of the last cell in the worksheet. Open/Close WB The Open Workbench and Close Workbench items allow you to open and close the workbench screen when you are using MaxiPlan in extended color mode. Open Workbench will re-open the workbench (if there is enough memory) and allow you to run other programs, copy files,etc. Close Workbench is provided so that, after you have use the Workbench you may close its screen to save memory. It is not necessary to close the Workbench if you have enough memory.
